Holiday Camp Refund Policy

+7 days' notice – 90% refund or 100% credit

3–6 days' notice – 75% refund or 100% credit

Less than 48 hours' notice – 0% refund or 50% credit

No shows – 0% refund, and full payment will be charged if payment has not been received in advance.

Subscriptions, Cancellations & Refunds

Subscriptions can be cancelled at any time. Parents/carers must notify Brakes Community Foundation CIO that they wish to cancel their child's place and subscription. Cancellation will take effect from the date we are informed, unless a later cancellation date is requested.

We are unable to retrospectively cancel a subscription or refund payments for sessions where we were not informed beforehand that the child wished to leave. Non-attendance does not constitute cancellation, and it remains the responsibility of the parent/carer to notify us if their child will no longer be attending.

Payments already collected prior to notification of cancellation are non-refundable, except where Brakes Community Foundation CIO agrees otherwise due to exceptional individual circumstances.

If a child is asked not to return to a session due to poor, unsafe, disruptive or unacceptable behaviour, no refund will be provided for payments already made. This includes any period where a child's attendance is temporarily suspended while an incident or behavioural concern is being investigated.

After School Clubs

Unfortunately, we are unable to provide refunds for After School Clubs due to non-attendance, poor weather, school cancellation or other circumstances outside our reasonable control. Where possible, alternative provision may be offered.

We may consider exceptional individual circumstances on a case-by-case basis and, where appropriate, following consultation with the school.

Mobile Phones & Electronic Devices

To support safeguarding, appropriate behaviour and full participation in our activities, children are not permitted to use mobile phones, smart watches or other personal electronic devices during sessions or scheduled break times.

Where a child brings a mobile phone or device with them, it should remain switched off or stored securely with their belongings for the duration of the session. If a child needs to contact a parent/carer, or a parent/carer needs to contact their child in an emergency, this should be done through a member of the coaching team.

Brakes Community Foundation CIO cannot accept responsibility for the loss of or damage to mobile phones or other personal electronic devices brought to sessions.

Allergy Awareness & Nuts

Brakes Community Foundation CIO aims to provide an allergy-aware environment and takes the safety of children with food allergies seriously.

To help minimise the risk of accidental exposure, parents/carers are asked not to send children to our sessions or holiday camps with nuts, peanuts or products containing nuts. Children should not share or exchange food or drinks with other attendees.

Parents/carers must provide full and accurate details of any known allergies or medical requirements when booking and inform us immediately of any changes. Where a child requires emergency medication, including an adrenaline auto-injector, parents/carers must ensure the appropriate medication is available in accordance with the arrangements agreed for the session.

While we take reasonable precautions to minimise the risk of allergen exposure, we cannot guarantee that any venue or session will be completely free from nuts or other allergens.

Indoor Provision During Poor Weather

If poor weather prevents outdoor sports, we will offer suitable indoor alternatives where possible, depending on the school’s available facilities. This may include classroom based games, quizzes, or other sports related activities. We will try to access a gym or sports hall where we can, but this is not always possible. We will always do our best to ensure the session goes ahead as planned.

Late payments...

For any payments not made on time, an administration fee of £5.00 will be added to each missed payment.

Disclaimer

I acknowledge the potential hazards and risks associated with the sports and activities which my child/ren will be participating in during the sessions. I acknowledge that Brakes Community Foundation CIO shall not be liable for any illness, injury, or death resulting from such participation except as a result of its negligence or where exclusion cannot be limited by law. I further acknowledge that Brakes Community Foundation CIO shall have no liability in respect of any loss or damage to property whilst attending Brakes Community Foundation CIO sessions. 

By completing this form, I give permission for Brakes Community Foundation CIO staff to give first aid treatment to my child/children as they see appropriate in the event of an accident/emergency.

All personal information provided on this consent form will be kept in the strictest of confidence by Brakes Community Foundation CIO and will not be passed on to any other organisation or third party but may be used to inform you of future events taking place.
